Destination Wedding Planning Checklist: A Step-by-Step Timeline

A destination wedding is unforgettable — but it has far more moving parts than a wedding at home. Travel, accommodation, multiple events and out-of-town vendors all need to line up perfectly. Use this step-by-step checklist to keep every detail on track from the day you get engaged to the day you say 'I do'.

9–12 months before: foundation

Set your overall budget and guest count first — every other decision flows from these two numbers.

Shortlist destinations and venues, then lock your date and book the venue. Hire your event planner early so they can negotiate venue and vendor contracts on your behalf.

6–9 months before: core vendors

Book the vendors that get reserved first: photographer, decor, catering and entertainment.

Send save-the-dates with travel and accommodation information so guests can plan flights and leave.

3–6 months before: details

Finalise the menu, decor theme, and the flow of each event — mehndi, sangeet, ceremony and reception.

Arrange group accommodation and local transport for guests, and confirm a hospitality desk for arrivals.

1 month before: confirmation

Reconfirm every vendor in writing, share the master run-sheet, and assign a coordination team for each day.

Prepare welcome kits and a contact card so guests always know where to be and who to call.

Frequently Asked Questions

How far in advance should I plan a destination wedding?

Start 9 to 12 months ahead. This gives you time to lock the venue and date, book core vendors before they fill up, and give guests enough notice to arrange travel and accommodation.

Do I need a planner for a destination wedding?

Strongly recommended. A planner manages out-of-town vendors, contracts, logistics and on-the-day coordination across multiple events, which is very difficult to do remotely on your own.
